Cashless & Attendee Support

Q: How do I register for a Ronin POS cashless profile?
A: You can register for a cashless profile at participating events. Event staff can assist you with registration at the entrance or designated cashless registration areas.

Q: How do I remove my credit card from my cashless profile?
A: Email ops@roninpos.com, and a member of the Ronin Operations Team will assist you with removing your credit card from your cashless profile.

Q: What should I do if I forgot my cashless profile PIN?
A: Visit the cashless registration website and log in using your phone number and email address. From your account, you can update your information and reset your PIN.

Q: I entered incorrect information when creating my cashless profile. How can I fix it?
A: Email ops@roninpos.com with the correct information, and the Ronin Operations Team can assist you with updating your profile.

Q: Can I have more than one wristband linked to the same credit card?
A: Yes. You can set up one cashless account and use the same phone number and PIN with multiple wristbands. Purchases will be associated with the same cashless account.
Q: How can I check the cash balance on my wristband?
A: Your remaining balance will appear on the screen after a transaction. You can also check the cashless registration website or ask a vendor to perform an RFID balance lookup.
Q: What happens to unused cash on my wristband after an event?
A: Unused balance policies vary by event. Please contact the event organizer directly for information about refunds or remaining balances.

Q: Can I split a payment between my wristband and a credit card?
A: Yes. If your wristband or QR code is linked to a cashless profile, available cashless funds can be used first. You can then pay the remaining balance using the card associated with your cashless profile, a physical credit card, or another wristband or QR code.

Q: Why was my credit card charged after the event ended?
A: Ronin POS can operate offline when internet connectivity is unavailable or unstable. Transactions completed while offline may be securely processed after connectivity is restored, which can result in a charge appearing after the event.
Q: How do I get a replacement QR code?
A: Email ops@roninpos.com, and the Ronin Operations Team can assist you.
Q: I didn't receive my ticket. What should I do?
A: Email ops@roninpos.com with your first and last name, the event you are attending, and your order ID so the team can assist you.

Q: How can I get a copy of my receipt?
A: You can request a receipt from the "Thank You" screen after completing a transaction. For additional assistance, contact ops@roninpos.com.

Q: How long does it take to process a refund?
A: Approved transactions can typically be voided immediately within Ronin POS. The time it takes for funds to appear back on your account may depend on your bank or card provider. For assistance, contact ops@roninpos.com.

Vendor Onboarding & Management

Q: What vendor information, tax documents, banking details, and onboarding forms are required before an event?
A: To prepare vendors for Ronin POS, we typically need menu information, pricing, and either individual Stripe account details or confirmation that revenue will flow through the festival's Stripe account. Event organizers may also require W-9 forms, tax documentation, banking information, and vendor agreements.

Q: When should vendors submit their menus, pricing, and product lists?
A: We recommend submitting vendor menus at least two weeks before the event. Vendors complete a menu submission form with menu items, pricing, requested POS devices, and operational details. The Ronin team then builds the menus and provides dashboard credentials, training materials, and a POS screen preview for approval.

Q: Does Ronin POS communicate directly with vendors before an event?
A: Yes. The Ronin Operations Team can communicate directly with vendors to distribute menu submission forms, answer questions, provide training materials, and offer support before, during, and after the event.

Q: Can vendors create custom-priced items or transactions during an event?
A: Yes. Ronin POS includes a Custom Item feature that allows vendors to enter prices at the point of sale without preloading every SKU. Both fixed-price items and custom pricing can be supported.

Q: Can discounts be applied at the point of sale?
A: Yes. Discounts can be enabled for all or selected vendors and can be password protected. Cashiers can apply preset discounts, percentage discounts, or custom dollar discounts.

Q: How quickly can vendors add or update menu items during an event?
A: Menu changes can be made quickly. Vendors can contact the Ronin Operations Team or an onsite technician to request updates.
Reporting, Sales & Payments

Q: How can I view sales reporting for my event?
A: Log in to the Ronin POS Dashboard at admin.roninpos.app/login using the credentials provided by management. Dashboard access varies by user permission level. If you need access to information you cannot currently view, contact event management or ops@roninpos.com.

Q: Can vendors access sales reports during and after an event?
A: Yes. Vendors can receive secure dashboard access where they can view sales reporting throughout the event and after it concludes.

Q: What reporting is available in Ronin POS?
A: Ronin POS provides detailed reporting covering sales, taxes, refunds, fees, payouts, payment activity, SKU-level performance, product mix, and additional financial and operational data.

Q: How can I track product inventory and sales?
A: The Product Mix report in the Ronin POS Dashboard shows how many units of each item were sold, helping vendors and organizers track product performance throughout an event.

Q: Can Ronin POS support vendor settlements within 15 business days after an event?
A: Yes. Ronin's reporting and settlement tools support fast reconciliation. Organizers can settle vendors through the festival's Stripe account, or vendors can use individual Stripe accounts. Stripe payout timing varies depending on the account and transaction.

Q: How can I confirm that all of my orders have been processed?
A: Check the upper-right corner of the Ronin POS app. The indicators should display P:0 D:0, indicating there are no pending or delayed transactions waiting to process.

Event Operations & Technical Support

Q: Does Ronin POS work if the internet goes down?
A: Yes. Ronin POS is designed to continue processing transactions offline. Once connectivity is restored, stored transactions automatically synchronize and process.

Q: What happens if a POS device fails during an event?
A: Ronin maintains backup hardware for supported events. On-site technicians can troubleshoot or replace a device to minimize downtime.

Q: Does Ronin POS provide live support during an event?
A: Yes. Ronin can provide onsite technicians as well as dedicated remote support. Urgent issues are typically addressed within minutes.

Q: Can Ronin POS provide support for multi-day and 24-hour events?
A: Yes. Ronin can provide onsite support for multi-day events, including camping festivals and other events that operate around the clock.

Q: What training and onboarding resources does Ronin POS provide?
A: Clients and vendors receive access to training videos, onboarding assistance, troubleshooting documentation, and direct support from the Ronin Operations Team.

Q: Why does the Ronin POS app say an update is available?
A: This message appears when a new version of the Ronin POS app is available. Select the update option and allow a few minutes for the update to complete.

Q: Are Ronin POS tablets waterproof?
A: No. Ronin POS devices should be protected from rain, spills, and other moisture.
​
Q: Can I manually enter a credit card if the physical card isn't working?
A: Yes. On the payment screen, select the manual entry option. The customer can then enter their card information to complete the transaction.

Q: How do I process a refund or void a transaction?
A: Open Settings in the Ronin POS app, select Order History, locate the transaction, and choose the appropriate void option.
